There are various types of subscriptions under Microsoft licensing. Different licenses may offer better coverage for different business functions.
Microsoft Exchange Online Plan 1 (up to 100k licenses)
This license is strictly mailbox license without any additional features. It has 50GB (+50GB Online archive) mailbox space covering emails, calendar and contacts.
Microsoft Exchange Online Plan 2 (up to 100K licenses)
Strictly mailbox license up to 100GB storage for main mailbox and no restriction on space for Online Archive.
Microsoft 365 Business Standard (up to 300 licenses, additional license has to be Enterprise licenses (E1,E3 or E5)
This license covers 50GB mailbox, Teams for Business, OneDrive for Business + Sharepoint (1TB storage), and Office 365 desktop apps (can install on 5 devices under same username).
Microsoft 365 Business Basic (up to 300 licenses)
This license covers 50GB mailbox, Teams for Business, OneDrive for Business + Sharepoint (1TB storage) without desktop apps (only web access to common Office applications).
This license is for users requiring Teams, OneDrive and Sharepoint but not desktop licenses.
Due to requirement for modern authentication, some older Office versions may not work with Office 365. (Namely, Office 2007/Office 2010/Office 2013 and prior.)
Office 2016 is currently still supported but may becomes obsolete with time.
For users that do not have Office 2016 and above licenses, there are 2 options for you to consider.
- Microsoft 365 Apps for Business
(Activation may be confusing for users if installing on users with different email accounts as they need to use
M365 Apps account for activation and their own email for mailbox.) - Using New Outlook in Windows 11 (Previously Windows Mail) which supports Microsoft Exchange.
You can also using Microsoft 365 Family which has Outlook and can be shared to up to 5 email accounts but caveat being this will be signed in under Microsoft personal account instead of work account.
If you purchase Office 2019/2021 with your computer, you may also wish to take note that Outlook in Office 2016/2019/2021 Home and Business license do not support Online Archive so it will not appear.
